Power Point
Here is a link to the Power Point Hot Keys (ie: shortcuts)
Many of the tips in Word work in PowerPoint as well and
have not been repeated here. To see the tips in Word, click
on the Word option in the column on the left
File
- You can save your presentation in a variety of formats,
including earlier versions of PowerPoint. Caution: Saving to
an earlier version may result in the loss of changes made
with new PowerPoint '97 features.
- If you have designed your presentation on one computer
and you want to send it to another computer, use the 'Pack
and Go' feature which can be found in the File Menu. Files
can be 'packed' to floppy disks, your hard drive or directly
to another computer on your network
- To print handouts, click File and then Print. At the
bottom of the print box, change the Print what: option
to Handouts (select either 2,3, or six per page).
Edit
- To delete a slide, click on the Edit Menu and choose
Delete Slide
- To duplicate a slide, click on the Edit Menu and choose
Duplicate (Ctrl+D)
View
- To get a full size picture of your slide, use the Slide
view.
- To see an outline of your presentation, use the Outline
View. Slide content can be edited in this view, but it does
not show pictures and objects.
- To rearrange the order of your slides, either cut and
paste using the Outline view, or try using the Slide sorter
view.
- To write notes which supplement each slide, choose the
Notes Page view.
- You can set master styles for your slides by using the
Master Option on the View menu.
- To see your presentation in black and white, click the
black and white option on the View menu.
- To see a miniature of what the slide looks like, click
Slide Miniature on the View menu. This is a handy tool if you
are working in the Outline view.
- To switch between views quickly, use the icons at the
bottom left hand side of your screen. Using the Slide Show
icon allows you to start your slide show from the active
slide.
Insert
- To insert a New Slide into a presentation, click Insert
and choose the New slide option (Ctrl+Enter) or (Ctrl+M) will
do this for you.
- To duplicate a slide, choose the duplicate slide option
from the insert menu.
- To insert Slide Numbers, go to the Insert menu and select
Slide Number. Alternatively, use the View menu and choose the
Header and Footer option, then tick the Slide Number
box.
- To insert slides from another presentation into your
current presentation, use the Insert menu and choose the
Slides from Files menu. If no slides are displayed, click on
the Browse button to find the slides. You can then choose to
insert either individual slides or the entire slide show.
PowerPoint automatically changes the Design style of the
slides to the Design Style that your current presentation is
in.
Format
- If you are a new user, the AutoContent wizard is the
quickest way to create a presentation.
- PowerPoint provides good-looking easily modified design
templates to make your presentation look great. To use a
template, click Apply Design on the Format menu.
- To modify the colours in a design template, click Slide
Colour Scheme on the Format menu. You will then have a choice
of choosing an alternate scheme from the Standard menu or
creating your own scheme from the Custom Menu. Click Apply to
All to apply the new scheme to all of your slides.
- To change the font in all of the slides from Times New
Roman to different font, use the Format menu and choose the
Replace Font option.
- To change the the layout of a slide, click on Format and
choose Slide Layout.
Tools
- To ensure that the style is consitent throughout your
presentation, use the Style Checker in the Tools menu. This
automatically checks the entire presentation for Spelling,
Visual clarity,Case and Punction.

Slide Show
- Presentations can be viewed on two screens by running the
View on Two Screens from the Slide Show menu.
- To insert Action Buttons into a slide, click on Slide
Show and choose the Action Buttons option. When you insert
these, they will automatically hyperlink to the next or
previous slide which means that by clicking on them in a
presentation, you can go to the next or previous slide.
- To animate your slides, use the Preset animations in the
Slide Show menu. First select the item you want to animate
(ie: textbox or object) Then click on Preset Animation and
select the effect that you want.
- To change the animation order or for more effects, click
on Custom Animation. If you are working on a chart, use the
Chart Effects tab.
- To see how your animation looks without having to run the
slide show, Choose the Animation Preview from the Slide Show
menu.
- If you have a slide that you don't want to show this
particular audience, you can hide it by choosing the Hide
Slide option from the Slide Show menu.
Windows
- The options here are similar to those available in
Word.
